How we use your data.
In plain words: who we are, what we hold, why, for how long, and how to make us stop. If we emailed you out of the blue, this is the page that email pointed to.

Who we are
Axtiq is a product design and engineering studio based in London. For the personal data on this page, the controller is Axtiq Ltd, a company registered in England and Wales (company number 17301148), with its registered office at 20 Wenlock Road, London N1 7GU. We decide what is collected and why.
For anything about your data, write to kave@axtiq.com. A founding partner reads it, not a ticket system.
Why we might have emailed you
We introduce Axtiq to a small number of people at other businesses whose role suggests our work could be useful to them. We write one short email, and at most two short follow-ups. We stop as soon as you reply, or ask us to stop.
We only write to work addresses at companies, on the company's own domain. We do not email personal addresses, and in this outreach we only contact people at companies in the United Kingdom.
A person at Axtiq reads and approves every email before it is sent. We do not track whether you open our emails or click their links.
What we hold
- Your name, job title and the company you work for, with its website.
- The address of your LinkedIn profile, only to tell people with the same name apart and never to write to anyone twice. When BetterContact supplies them, your headline and location.
- Facts about your company, such as its website, what it makes and its entry on the Companies House register, each with where and when we found it.
- Your work email address.
- A short note on why we thought Axtiq might be relevant to you.
- The emails we send you, your replies, and whether you asked us to stop.
If you write to us through the contact form on this site, we hold what you send: your name, email, company and message. If you use it to complain about how we used your data, we also keep the complaint, its reference and our answer. If you book a call through our booking calendar, on this site or from one of our emails, we hold the name, email and notes you give it.
Where we found your details
Your profile details come from BetterContact, a business contact data provider. We search it for people by job title, seniority, location and company size.
For people we have decided are a good fit, we look for a work email address in this order, and stop at the first one found:
- Your company's public website: we read its homepage and at most three public pages (contact, about, team), as any visitor would, for an address it publishes.
- Hunter (hunter.io), an email lookup service: we send it your first and last name and your company's web address, and ask it to check whether a likely address exists or to find one.
- BetterContact: we send it your public profile link or, when we have none, your name and your company's web address.
We send these services nothing else about you. We only accept an address on the domain of the company you work for. Ask us at kave@axtiq.com and we will tell you which of these applies to you.
We also use the public Companies House register to find newly formed UK companies and their directors. From it we keep only an officer's name, role and appointment date and the town of their correspondence address, never a date of birth, nationality or street address. We may look at your company's public homepage, as any visitor would, to see what it is built with.
To check that we have the right person and company, we may also look at:
- Google search results, through Serper:we search for your company's name, or a name it trades under, with its town or its trade, to find its website. Only for people we have decided are a good fit do we also search for your name with your company's name, its trade or its town. Each result comes back with the page's address, its title and a short snippet of its text, including results from LinkedIn. We read them in memory, to tell which site is your company's and which profile is yours, and do not keep that text. From the results we keep only the address of a LinkedIn profile that matches you, to tell people with the same name apart: never its title, snippet, headline or location. We never visit or read the LinkedIn profile page itself. A fact a result led us to, such as your company's web address, is kept in our own words with its source, never as the result's text. The search service is Serper (serper.dev), which returns Google's results. Exa and Tavily, two other search services, are not in use; if we move the searches to one of them, this page will say so first.
- Your company's public website:its homepage and its about, team and contact pages, as any visitor would. We say who we are when we visit and follow the site's rules for automated visitors. When a site shows nothing without JavaScript, we may read the same public pages through Apify's website reader, which follows those rules too.
- An AI model may help decide which of these facts belong to your company. It never adds a fact of its own: anything it says must come from one of these sources.
Every fact we keep is stored with where we found it (the source and the page) and when. Ask us at kave@axtiq.com and we will show you.
For some of our outreach we start from other public lists of organisations instead: HESA's register of university spin-out companies, Innovate UK's list of funded projects, the Care Quality Commission's register of care providers, a trade show's published list of exhibitors, and tender and contract award notices published on Find a Tender and Contracts Finder, including the lists some award notices publish of the companies that bid for a contract or were appointed to a framework. From these we take the organisation and, where the list names one, the contact person and their role. From a tender notice we also take the contact email address the notice publishes. Ask us at kave@axtiq.com and we will tell you which of these applies to you.
Our lawful basis
We rely on legitimate interests (Article 6(1)(f) of the UK GDPR). Under the Privacy and Electronic Communications Regulations, we may email people at companies about our business without asking first, as long as we say who we are and make it easy to stop.
We weighed our interest against yours before we started. Our interest is telling a small number of relevant businesses that Axtiq exists. Contact is limited to what that needs: one email and two follow-ups at most, to a work address, about your work. People in business roles can reasonably expect occasional relevant contact at work. We keep the data to a minimum, send few emails, track nothing, delete on a schedule, and make stopping a one-word reply. On that balance we concluded our interest does not override your rights. You can ask us for the full assessment.
We use AI to help us judge which companies might be a fit, and to draft the one sentence about your company in our emails; the rest of each email is our own fixed wording. For that the AI is given facts about your company and your role, never your name, email address, LinkedIn profile or anything you wrote to us. A person reads your replies. Fixed rules sort them, and when an AI helps draft an answer it is Anthropic's Claude, never the free AI models we use for the rest. People make every decision: who to contact, and what is sent. No decision about you is made by a machine alone.
How long we keep it
A job runs every day and applies these periods on its own. Each one counts from the day we found you, or from the last email between us.
- If we decide not to contact you: deleted 30 days after we found you. The same applies if nobody at Axtiq has looked at your record yet.
- If we planned to contact you but never did: deleted 90 days after we found you.
- If we emailed you and you did not reply: your profile, what we found about you and your company with its sources, and the content of our emails (with any earlier drafts) are deleted 6 months after our last email. The rest of your record, including your name and address, is deleted 24 months after it.
- If you replied: kept for 24 months after the last message, so we have the context of our conversation, then deleted.
- If you become a client: your details become part of our client records, and these periods no longer apply.
- If you complain to us: the complaint and our answer are kept for 24 months after we answer, then deleted.
- Backups: we keep an encrypted copy of our database each night for 30 days, so something deleted can stay in a backup for up to 30 days more.
- After we delete the record of someone we emailed, or if you asked us to stop: we keep a keyed hash of your address and profile, only so we never email you again. A keyed hash is a fingerprint made with a secret key that we store apart from our data. Nobody can read your address from it. Someone who had both our data and that key could check a guessed address against it, so we protect the key like a password.
Your rights
You can ask us, at any time and free of charge:
- For a copy of everything we hold about you.
- To delete it. We keep only the keyed hash that stops us contacting you again.
- To stop. You can object to direct marketing at any time, and we will stop, no questions asked.
- To correct anything that is wrong, or to limit its use.
The quickest way to stop our emails is to reply with the word "stop", as the foot of every email we send says, or to use the unsubscribe button your email app shows beside our email. For anything else, write to kave@axtiq.com. We answer within one month.
Who else handles it
These companies process data for us, only to run the services below:
- Google Workspace: our email.
- Vercel: hosts this website and the tools behind it, keeps our encrypted nightly backup, and counts visits to this site without cookies.
- Supabase: our database, hosted in the European Union (Frankfurt).
- Resend: sends the notices from our contact form and our internal tools.
- Hunter (hunter.io): finds and checks work email addresses.
- BetterContact: finds work email addresses.
- Serper(serper.dev): runs the web searches described above and returns Google's results. It receives your company's name with its town or trade and, once we have decided you are a good fit, your name with them. Serper says it may store data outside the United Kingdom and the European Economic Area.
- Apify(Apify Technologies s.r.o., Czech Republic, with its platform hosted in the United States): reads a company's public website when it shows nothing without JavaScript. We delete what it read after each visit.
- OpenRouter(United States) and the AI model providers it routes to: the AI that helps us judge which companies fit and write the sentence about a company. We mostly use free models, whose providers may keep what we send, so they are given facts about companies and a person's role, never a name, an email address, a profile or a reply.
- Anthropic(United States), directly or through Vercel's AI Gateway: Claude, which helps us sort and draft answers to replies, and does the work above when the free models cannot.
- Cal.com: the booking calendar on this site and in our emails, when you book a call with us.
Some of these providers process data outside the United Kingdom: our database is in the European Union, and some providers work in the United States. The UK recognises the European Union as giving adequate protection; transfers to the United States are covered by UK adequacy regulations or by the UK International Data Transfer Addendum. Serper's own policy says its transfers rest on an adequacy decision or on standard contractual clauses.
We never sell your data, and we never share it for advertising.
If you are not happy
Tell us first: choose "A complaint about your data" on our contact form, or write to kave@axtiq.com. The form gives you a reference at once, and a founding partner replies within 30 days with what we found and what we did.
You also have the right to complain to the Information Commissioner's Office, the UK regulator for data protection, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this notice
When we change how we use personal data, we update this page and the date at the top. Questions about any of it are welcome at kave@axtiq.com, or through our contact page.
